Water treatment engineering company is looking for an Administrative Officer.

JOB RESPONSIBILITIES
  • Manage office supply procurement, inventory control, and distribution.
  • Maintain and update company databases.
  • Develop and maintain the filing system.
  • Create, update, and manage all administrative documents.
  • Organize and consolidate invoices, receipts, and payment records.
  • Assist with translating technical documents and interpreting meetings.
  • Collaborate in developing office policies and procedures, and ensure they are implemented appropriately.
  • Identify areas for improvement in processes and office management, then design and implement new systems to enhance efficiency.
  • Assist with managing and planning office layout, maintaining IT infrastructure.
  • Be involved in recruitment, onboarding, termination processing, and timekeeping management.
  • Support employee education and development initiatives
  • Provide comprehensive administrative support as schedule group meetings, manage calendars, conduct research, draft documents, create reports, and business travel arrangements.
  • Ensure a clean, safe, and organized work environment by maintaining the office, its appliances, and coordinating with vendors/service providers for repairs and maintenance.
  • Assist with ad-hoc duties and activities as needed.

JOB REQUIREMENTS
  • Minimum 1 year of experience as an Administrative Officer, Administrator, or similar role, demonstrating a strong understanding of administrative functions and office operations.
  • Good command of English (must).
  • Having Japanese skill is preferred (From ~N4).
  • Proficiency in MS Office (especially Excel and Word).
  • Strong written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize tasks and manage deadlines.
  • Problem-solving attitude with strong attention to detail.
  • Excellent interpersonal skills.
  • Analytical thinking and critical decision-making skills.
  • Familiarity with basic IT troubleshooting is a plus.
